Privacy policy

What we collect, why, and how you can access or correct it.

1. About this policy

This policy explains how ALIN-MARIAN AGAFITEI, trading as Getclearedby, handles personal information. We follow the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Even if a small business exemption could apply to us, we choose to comply with the APPs.

Contact for privacy matters: hello@getclearedby.com, +61 2 0000 0000, Aleea Remus, nr. 4, 900190, Constanța, Romania.

2. What we collect

We only collect information we need: contact details (name, business name, work email, phone), details you give us about your business and setup, technical website data, and — for clients — the business data needed to provide the service. You can browse the website without giving us your name. If you contact us anonymously or under a pseudonym, we may not be able to prepare a quote.

3. Enquiries through the form, by email or phone

When you contact us, we use your details to respond, arrange the free review and, if you ask, prepare a quote. Form submissions are stored on our web server in a folder that isn’t publicly accessible and are emailed to us. To prevent spam, we keep a one-way hash of your IP address for no more than one hour. If no business relationship follows, we delete your enquiry within 12 months of our last contact.

4. Website data

Our hosting provider automatically logs technical data (IP address, date and time, page requested, referrer, browser type) to run and secure the website. Optional analytics and advertising tools only load with your consent — see the cookie policy. If you arrive from an ad, the web address may contain a campaign code (such as gclid or utm_campaign). If you send the form from that page, the code is attached to your enquiry so we can see which campaigns work. We only remember it between pages if you’ve allowed advertising cookies.

5. Client data

When you become a client, we process business records that may contain personal information about your customers, suppliers and staff (for example names, email addresses and bank details on invoices). We do this only to provide the service, under written data processing terms that name our AI and hosting providers and where data is stored.

6. Who we share information with

We don’t sell personal information. We share it only with service providers who help us run the business — hosting, email, AI processing and, with your consent, Google — or where the law requires it.

7. Overseas disclosure

We prefer Australian data centres. Some providers may store or process data overseas, for example in the United States or the European Union. Client quotes list each provider and location. Google’s analytics and advertising services, if you consent to them, process data in the United States and other countries. We take reasonable steps to make sure overseas recipients handle personal information consistently with the APPs.

8. Automated decisions

We don’t use computer programs to make decisions that could significantly affect an individual’s rights or interests. In our service, AI prepares suggestions — bill coding, reminder drafts, bank matches and forecasts — that a person at the client business reviews and approves. If this changes, we’ll update this policy to describe the decisions involved and the kinds of personal information used, as required by the Privacy Act from 10 December 2026.

9. Security and retention

We use encrypted connections (HTTPS/TLS), access controls, least-privilege access and audit logs. Client data is deleted within 30 days after the contract ends unless the law requires us to keep it; business records we must keep (such as tax invoices) are retained for the period the law requires, generally 5 years.

10. Access and correction

You can ask for access to the personal information we hold about you, or ask us to correct it, by emailing hello@getclearedby.com. We’ll respond within 30 days. If we refuse, we’ll explain why.

11. Marketing

Sending the form doesn’t sign you up for newsletters or promotions. If we ever send marketing emails, we’ll only do so with your consent and in line with the Spam Act 2003, and every message will have an easy way to unsubscribe.

12. Complaints

If you have a concern about how we’ve handled your personal information, please contact us first. We’ll acknowledge your complaint within 5 business days and aim to resolve it within 30 days. If you’re not satisfied, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
